Email Sequences
Automated multi-step outreach with A/B testing, conditional logic, and smart scheduling.
Sequences are the engine that drives your outbound campaigns. A sequence is an ordered set of touchpoints — emails, SMS messages, LinkedIn actions, manual tasks, or calls — that execute automatically over time. Each lead enrolled in a campaign progresses through the sequence at their own pace, with behavior-driven branching that ensures the right message reaches the right person at the right time.
Building a Sequence
Sequences are created inside a Campaign during the campaign setup wizard, or standalone from the Sequences section.
Each sequence consists of steps. A step defines:
- Channel — Email, SMS, LinkedIn, Manual Task, or Call
- Delay — How long to wait after the previous step (e.g., 2 days, 4 hours)
- Content — The message template with personalization variables
- Conditions — Optional rules that control whether the step executes

Example Sequence
A typical cold outreach sequence might look like:
- Day 0 — Initial cold email (personalized intro, value prop, soft CTA)
- Day 3 — Follow-up email (different angle, social proof)
- Day 5 — LinkedIn connection request (if no reply)
- Day 7 — Third email (urgency or exclusive offer)
- Day 10 — Manual task: Call the lead (if they opened 2+ emails)
- Day 14 — Breakup email (friendly, leave the door open)
Personalization Variables
Every email template supports dynamic merge fields that are replaced with lead data at send time:
| Variable | Description | Example Output |
|---|---|---|
{{first_name}} | Lead's first name | Sarah |
{{last_name}} | Lead's last name | Chen |
{{company}} | Company name | DataFlow |
{{title}} | Job title | VP Engineering |
{{industry}} | Company industry | SaaS |
{{sender_name}} | Your name | Alex |
{{unsubscribe_link}} | Opt-out link | Auto-generated |
AI personalization
Beyond simple merge fields, you can use AI-personalized snippets. Add {{ai_icebreaker}} and Clozup's AI will generate a unique opening line for each lead based on their LinkedIn activity, company news, or recent publications.
A/B Testing
Improve your outreach by testing different messages. Any email step can have multiple variants:
- Create 2-4 variants with different subject lines, body copy, or CTAs
- Clozup randomly assigns leads to each variant
- After a configurable sample size, the winning variant (highest open or reply rate) is automatically selected for remaining leads
A/B test setup showing two email variants with different subject lines and real-time performance comparison
Note
A/B testing requires at least 50 leads per variant to reach statistical significance. For smaller audiences, consider testing one variable at a time (subject line OR body, not both).
Conditional Logic
Not every lead should receive every step. Use conditions to create intelligent branching:
- If opened → Send a more direct follow-up
- If clicked → Escalate to a call task
- If replied → Remove from sequence (auto-handled)
- If not opened → Retry with a different subject line
- If score > 70 → Fast-track to a personalized approach
Conditions are configured per-step in the sequence builder using a visual rule editor.
Multi-Channel Sequences
Don't limit yourself to email. Clozup sequences support multiple channels in a single flow:
- Email — Standard email with tracking, personalization, and scheduling
- SMS — Short text messages via Telnyx or Twilio
- LinkedIn — Connection requests and InMail (via browser extension)
- Manual Task — Reminds you or your team to take a specific action (e.g., call, send gift)
- Voice Call — Auto-scheduled call tasks with click-to-dial integration
Smart Scheduling
Clozup optimizes send times to maximize engagement:
- Timezone Detection — Emails are sent during the lead's business hours, not yours
- Sending Windows — Configure allowed days (e.g., Mon-Fri) and hours (e.g., 8am-6pm)
- Daily Limits — Set maximum sends per day per email account to protect deliverability
- Randomized Delays — Add jitter to avoid sending patterns that trigger spam filters
Deliverability
Sending too many emails too fast can hurt your domain reputation. Start with 50 emails/day per account and gradually increase. Clozup's built-in limits help protect your deliverability, but warming up new domains is your responsibility.
Sequence Analytics
Track performance at the sequence level and per-step:
- Funnel View — See drop-off between each step
- Step Metrics — Open rate, click rate, reply rate per step
- A/B Results — Compare variant performance with statistical confidence
- Lead Status — See where each lead is in the sequence
Sequence analytics are also surfaced in the Analytics dashboard and through the AI Assistant.
